Shortcuts, also called keyboard shortcuts, keystroke/keyboard combinations or keystroke/keyboard sequences, provide a quick and efficient way of carrying out actions through the keyboard instead of using a mouse.

Using the keyboard to control the computer

If you do not have enough useful sight, manual dexterity or hand/eye co-ordination to use a mouse, you can use the keyboard to control nearly all the functions of your computer provided you are a reasonably competent touch typist. However, if you have no touch typing skills at all, you should seriously consider taking a course in touch typing because it will take a great deal of time to learn the keyboard layout by trial and error. You may find the supplier of your screen reading software offers a course on audio cassette. Alternatively your local college or "blind" society should be able to help you.

Here, we have to assume you already know the layout of your own keyboard.

How to use shortcuts

The way we explain which control key or keys to press is consistent throughout our tutorials:

  • For a single key press, we will give you the name of the key, then the name of a subsequent key if one needs to be pressed to get the computer to respond, such as the ENTER key.
  • Often two keys need to be pressed at the same time. We will signify this by saying, for instance, press SHIFT + TAB. This means press and hold down the SHIFT key then press the TAB key.
  • Sometimes a combination of three keys is required. In which case we will say, for example, CTRL + ALT + DEL. You will need to press and hold down the CTRL key, then press and hold down the ALT key and finally press the DEL key.

Users of screen reading software

Screen reader users will be used to these conventions and you will also be aware of the very many keyboard combinations needed to control your screen reading software. Screen reading software developers have done their best to ensure their combinations do not conflict with the major operating and applications software currently on the market. However, if you are using a lesser-known piece of software or operating system, be aware there could be some conflict between this and the screen reading software.

Techniques

There are several techniques for getting around a computer using the keyboard only. People who are on, or have been on a course are likely to be using the tutor's Favorite way. This could mean having to memorise and type a lot of commands into the computer. We have decided to go through the various ways incrementally in the various levels of expertise for which we have produced tutorials.

This means that in the "Starting out" tutorials, we will ask you to get around using the cursor keys which are the four directional arrows. That way you will get to learn all the options that are available to you, rather than just go to the few for which you have memorised keystrokes. Later tutorials will take you through the other ways to navigate, so that you can eventually choose which way suits you best.

 

Viewing And Exploring Web Pages On Internet Explorer

To activate a selected link,

Press ENTER.

To close the current window,

Press CTRL + W or ALT + F4 (function key at the top of your keyboard).

To display Internet Explorer Help, or when in a dialog box, display context Help on an item,

Press F1.

To display a shortcut menu for a link,

Press SHIFT + F10.

To find an item on this page,

Press CTRL + F.

To go to the beginning of a page or document,

Press HOME.

To go to the end of a page or document,

Press END.

To go to your Home page,

Press ALT + HOME.

To go to a new location,

Press CTRL + O or CTRL + L.

To go to the next page,

Press ALT + RIGHT ARROW.

To go to the previous page,

Press ALT + LEFT ARROW.

To move backward between frames,

Press SHIFT + CTRL + TAB.

To move backward through the items on a web page, the Address bar and the Links bar,

Press SHIFT + TAB.

To move forward between frames,

Press CTRL + TAB or F6.

To move forward through the items on a web page, the Address bar and the Links bar,

Press TAB.

To open a new window,

Press CTRL + N.

To open the Favorites bar,

Press CTRL + I.

To open the History bar,

Press CTRL + H.

To open the Search bar,

Press CTRL + E.

To print the current page or active frame,

Press CTRL + P.

To refresh the current page,

Press CTRL + R or F5.

To save the current page,

Press CTRL + S.

To scroll towards the beginning of a page or document,

Press UP ARROW.

To scroll towards the beginning of a page or document in larger steps,

Press PAGE UP.

To scroll towards the end of a page or document,

Press DOWN ARROW.

To scroll towards the end of a page or document in larger steps,

Press PAGE DOWN.

To stop downloading a page,

Press ESC.

To toggle between full-screen and regular views of the browser window,

Press F11.

 

Using the Address bar

To add "www" to the beginning and ".com" to the end of the text typed in the Address bar, (for example: type google in the address window then press CTRL + ENTER to get www.google.com)

Press CTRL + ENTER.

 

To display a list of addresses you've typed,

Press F4.

 

To select the text in the Address bar,

Press ALT + D.

 

To move backward through the list of AutoComplete matches,

Press UP ARROW.

 

To move forward through the list of AutoComplete matches,

Press DOWN ARROW.

 

To move the cursor left to the next logical break in the address (period or slash),

Press CTRL + LEFT ARROW. You need to be in the Address bar.

 

To move the cursor right to the next logical break in the address (period or slash),

Press CTRL + RIGHT ARROW. You need to be in the Address bar.

 


Working with Favorites

To add the current page to your Favorites,

Press CTRL + D.

 

To move selected item up in the Favorites list in the Organize Favorites dialog box,

Press ALT + UP ARROW.

 

To move selected item down in the Favorites list in the Organize Favorites dialog box,

Press ALT + DOWN ARROW.

 

To open the Organize Favorites dialog box,

Press CTRL + B.

Microsoft Word Keystrokes

There are very many keyboard shortcuts in Microsoft Word and we list the commonly used ones below. You may go to the following groups of keystrokes, which are all on this page or use CTRL + F to use the Internet Explorer "Find on this Page" function :


Opening and closing

To start a new document,

Press CTRL + N.

To open an existing document,

Press CTRL + O.

To save a document,

Press CTRL + S.

To close a document and leave Word open,

Press CTRL + F4.

To close a document and exit Word,

Press ALT + F4.

 


Moving around

To move left one character,

Press LEFT ARROW.

To move right one character,

Press RIGHT ARROW.

To move up one line,

Press UP ARROW.

To move down one line,

Press DOWN ARROW.

To move left one word,

Press CTRL + LEFT ARROW.

To move right one word,

Press CTRL + RIGHT ARROW.

To move up one paragraph,

Press CTRL + UP ARROW.

To move down one paragraph,

To go to the start of a line,

Press HOME.

To go to the end of a line,

Using dialog boxes

To go to the next control,

Press TAB.

To go to the previous control,

Press SHIFT + TAB.

To move up one item in a list,

Press UP ARROW.

To move down one item in a list,

Press DOWN ARROW.

To move to the previous check box,

Press UP ARROW.

To move to the next check box,

Press RIGHT ARROW.

To move to the previous radio button in a group,

Press UP ARROW.

To move to the next radio button in a group,

Press DOWN ARROW.

To toggle a check box on or off,

Press SPACEBAR.

To select a radio button,

Press SPACEBAR.

To select the Cancel button,

Editing

To select text so that it can be edited,

Move the cursor to the start of the text, hold down the SHIFT key and move the cursor to the end of the text to be selected.

To delete one character to the left of the cursor,

Press BACKSPACE.

To delete one character to the right of the cursor,

Press DELETE.

To delete the word to the left of the cursor,

Press CTRL + BACKSPACE.

To delete the word to the right of the cursor,

Press CTRL + DELETE.

To undo the last command,

Press CTRL + Z.

To redo the last undo,

Press CTRL + Y.

To highlight the whole document,

Press CTRL + A.

To copy text to the clipboard,

Press CTRL + C.

To paste text from the clipboard,

Press CTRL + V.

To cut text out of the document and copy it to the clipboard,

Press CTRL + X.

To display the clipboard,

Pres CTRL + C, CTRL + C.

To insert a page break,

Press CTRL + ENTER.

To insert the copyright symbol,

Press CTRL + ALT + C.

To insert the registered trademark symbol,

Formatting

To select text so that it can be formatted,

Move the cursor to the start of the text, hold down the SHIFT key and move the cursor to the end of the text to be selected.

To turn bold text on or off,

Press CTRL + B.

To turn italics on or off,

Press CTRL+ I.

To turn underline on or off,

Press CTRL + U.

To remove formatting from selected text,

Press CTRL + SPACEBAR.

To centre paragraph on the page,

Press CTRL + E.

To justify paragraph across the page,

Press CTRL + J.

To left align a paragraph,

Press CTRL + L.

To right align paragraph on the page,

Press CTRL + R.

To give a paragraph single line spacing,

Press CTRL + 1.

To give a paragraph double line spacing,

Press CTRL + 2.

To indent a paragraph from the left,

Press CTRL + M.

To remove a paragraph indent from the left,

Press CTRL + SHIFT + M.

To remove paragraph formatting,

Press CTRL + Q.

To open the Font dialog box,

Press CTRL + D.

To open the Find dialog box,

Press CTRL + F.

To open the Go To dialog box,

Press CTRL + G. This takes you directly to the Go To top tab in the Find dialog box.

To open the Replace dialog box,

Press CTRL + H. his takes you directly to the Replace top tab in the Find dialog box.


Printing

To print a document,

Press CTRL + P.

To toggle Print Preview on or off,

Press CTRL + ALT + I.

To move around the Preview page,

ARROW KEYS. The page must be zoomed in.

To move to the first Preview page,

Press CTRL + HOME. The page must be zoomed out.

To move to the last Preview page,

Press CTRL + END. The page must be zoomed out.

To move up or down Preview pages,

Press PAGE UP or PAGE DOWN. The pages must be zoomed out.
